Under the guidance of the programme manager, the Knowledge Sharing officer is responsible for providing programme support services particularly on programme formulation, implementation, management and closure including but not limited to quality assurance, monitoring and evaluation as well as knowledge management and sharing, ensuring high quality, consistency, and relevancy of work and effective exchange and mutual learning of key programme results, knowledge and experiences.
Based in UNDP China Office in Beijing, the Knowledge Sharing officer works in close collaboration with the operations and programme staff, UNDP Regional and Country Offices staff and other collaborating partners as required to exchange information and support capacity building, knowledge sharing and exchange at national and regional levels.
Duties and Responsibilities
Supports programme formulation in particular the following aspects:
•Strong support in drafting concept note and proposals upon programme initiation.
•Partnership building and engagement with programme partners including government, private sectors, NGOs, academia and international organizations.
Supports implementation of the programme strategies focusing on achievement of the following results:
•Assist in development and implementation of programme strategies, work plans including quality assurance and evaluation plans.
•Collection, analysis and presentation of information needed for programme development and implementation.
•Drafting briefing notes, talking points, speeches, articles and other contents as necessary and as required, in line with corporate and programme strategy
Provides effective support to management of the programme focusing on the achievement of the following results:
•Support knowledge management of programmes/projects and ensure that necessary programme management and operational procedures are properly implemented with good quality.
•Track and report on programme implementation.
•Facilitate knowledge sharing and propose updates and upgrades in a timely manner.
•Support developing and updating project monitoring and evaluation plan.
•Assist in preparation, filing, compilation and dissemination of documents/materials relating to the programme.
Supports knowledge building and knowledge sharing focusing on achievement of the following results:
•Participation and facilitation in the trainings for the operations/ projects staff on programme and M&E issues.
•Contributions to knowledge networks and communities of practice.
•Facilitate knowledge sharing initiatives with partners and stakeholders via a variety of innovative means and approaches to share, communicate and promote disaster risk reduction knowledge products to wider audience.Other relevant responsibilities as assigned by the programme manager.
Provides administrative support focusing on achievement of the following results:
•Provide logistics support for missions, events and project related workshops.•Assist in programme financial procedures, legal documents and other operational workflows.
•Maintain good communication with knowledge management platforms, as well as other internal and external counterparts at the working level.
•Assist in systematically collecting and documenting feedbacks and other relevant information as evidence for results achieved, maintaining the timeliness and accuracy of a change log of the project as part of the project monitoring and evaluation system.
•Provide other daily administrative support as required.


Impact of Results
Good knowledge management and implementation of knowledge sharing strategy to target audience are essential to ensure relevancy and sustainability of the programme. Adequate maintenance and dissemination of knowledge products will add value to and link with other comparable knowledge platforms for mutual sharing and learning. A client-oriented and effective approach impact on the result of the programme.

Required Skills and Experience
University Degree in Knowledge Management, M&E, Social Science, Information Management/Science, International Affairs, Communications, Business Administration, or project subject related areas
•Minimum of 3 years of relevant knowledge management and/or programme experience;
•Experience working with UN organizations/ agencies, governmental offices, and international organizations preferred;
•Sound knowledge of M&E, knowledge management tools, and information technology, including the principles and application of ICT in research and development;
•Management/coordination: experience managing and working with multidisciplinary teams, particularly with international/regional agencies;
•Good interpersonal and communication skills and team work spirit;
•Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages, experience in handling of web based management systems.
