The UN Resident Coordinator leads the UN Country Team, including all the UN entities present in China, and represents the UN Secretary General to the Government of China. The purpose of the Resident Coordinator system (RC system) is to bring together the different UN agencies to improve the efficiency and effectiveness of operational activities at the country level, helping the UN to be a more relevant and reliable partner for governments.
The UN Resident Coordinator’s Office (RCO) supports the roles and functions of the UN Resident Coordinator and UN Country Team. The RCO provides inter-agency coordination support to the Country Team and its various inter-agency working mechanisms, including thematic groups. Key functions of the RCO include: strategic analysis, planning and positioning of the Country Team; preparation and monitoring of the United Nations Development Assistance Framework (UNDAF); support to joint UN programming and operations management; policy guidance; joint advocacy and communications e.g. the management of the UN China website and production of joint communications materials.
The UN Coordination Assistant will become part of the RCO Team and work under the supervision of the Head of the RCO in close collaboration with other RCO colleagues, including the Resident Coordinators Executive Assistant. The successful candidate will support a wide range of operational, administrative and coordination related tasks.
Duties and Responsibilities
a) Finance and procurement support
Manage RCO related financial transaction and settlement of payments
Vendor and contract management; including drafting ToRs for vendors, system registration, and associated tasks;
Settle payments associated with UN joint activities, including budget and contract management;
Ensure availability VIP gifts and branding items, including identifying appropriate gifts and branding items, keeping track of availability in stock, manage the procurement of gifts and branding items.
b) Support to communication work and event organization
Manage the UN in China website, including regularly uploading new content based on inputs from colleagues;
Manage the office mail account, including responding to inquiries and directing requests to appropriate staff;
Provide logistical and administrative support to the organization of events, including the celebration of the UN Day, commemoration of international days; and seminars;
Maintain and strengthen database of partners and invitation lists;
Support to the distribution of event invitations, greeting cards, branding and information materials.
c) Support RCO coordination tasks
Support the collection of programmatic and operational information from the UN agencies present in China as required;
Manage the joint UN calendar, including regular updates and timely circulation to agencies;
Provide logistical support to the organization of UNCT/ joint UN meetings; including booking of rooms/venues, checking of availability, printing of background material, manage RSVPs, etc..
d) Administrative Support to the RCO
Facilitate information flow, coordination of schedule and other logistic arrangement;
Handel trip requests;
Provide other daily administrative and secretariat support to the team as necessary.

Required Skills and Experience
Bachelor’s or higher degree in business and administration, social science or related field
A minimum of 2 years of relevant job experience at professional level (excluding internships
Knowledge of UN’s mission, vision and values
Experience from working in an international environment
Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability
Demonstrates sound judgment, diplomacy and sensitivity to confidential matters
Good coordination and organisational skills
Excellent English language proficiency
